The Executive Dinner Playbook: Small Rooms, Big Conversations
A great executive dinner is the opposite of a booth. Instead of reaching as many people as possible, you put a handful of the right people in a room where everyone can actually talk. Small events like this tend to do a lot of the heavy lifting in a field program.
Pick the room before the date
The venue sets the tone. Look for a private or semi-private space that is quiet enough to hold a conversation, easy to reach from the conference or hotel, and flexible on menu and dietary needs. Confirm the details in writing: arrival time, minimums, seating layout, and who your day-of contact is.
Build the list backwards
Start with the accounts you most want to talk to, then fill in with customers, partners, and peers who make the table more interesting. Keep it small enough that everyone can talk to everyone. The mix matters more than the headcount.
Invite like a person
Personal outreach beats a mass email. Have the invitation come from someone the guest would recognize, say clearly what the evening is and who else will be there, and make it easy to say yes. Follow up once, politely, and keep a running tracker of who is confirmed, waitlisted, and declined.
Host the night
Give the evening a host whose job is to keep the conversation moving and bring quieter guests in. Mix the seating on purpose. Skip the product pitch; the point is to build relationships, and the pitch can come later if it is wanted.
Follow up fast
Within a day or two, thank everyone for coming, note what was discussed, and hand the conversation to sales with real context. A dinner that ends at dessert is a missed opportunity, and the best follow-up is specific to what each person said.
